COMMITTEE GUIDELINES

I: Rollcall:
1) Rollcall must be performed Weekly
2) Members must respond to rollcall in 72 hours
3) If Members do not respond after two weeks, send Warning letter to Member and cc: Yvanna.
4) If Member does not respond in a week, decision will be left to Yvanna as to whether Member
may need an Emergency LOA or be removed from Committee.

II: Assignments/Projects:
1) Assignments should be Posted Weekly unless you have a Committee that does Special
projects that run on a different Schedule. If there are no assignments for any particular week,
still do rollcall and advise that there are no assignments.
2) In the case of committees with Weekly Assignments, if members do not Complete assignments for 2
weeks in a row, send Warning letter to Member and cc: Yvanna.
3) If Member does not respond in a week, decision will be left to Yvanna as to whether Member may need
an Emergency LOA or be removed from Committee.

III: LOA's:
1) 1 - 2 Week LOA's
1a1) Routine LOA's should not be longer than 2 weeks.
1a2) When taking a 1 - 2 week LOA, the Member will not have to respond to Rollcalls, but will need to write
you when they are ready to return.

2) Extended LOA's
2b1) Under NORMAL circumstances, Member needs to write a letter of explanation, with a date of expected return.
Letter will be forwarded to Yvanna for approval, who will determine if the time requested is reasonable.
2b2) If approved, Member will be notified put on Extended LOA for the time requested and will need to
write you when they are ready to return.

3) LOA Follow-up
3a1) If Member does not return from LOA when promised and does not advise they are present and ready
to perform their duties, you should contact them.
3a2) If the Member responds and asks for an extension, advise Yvanna who will make a decision as to
whether the Member should be granted an Extended LOA or removed and asked to rejoin at a later time.
3a3) If at the end of a week, there is no response, advise Yvanna who will make a
decision as to whether the Member should be removed.

IV: Weekly Reports:
1) CL's must submit Weekly Reports by Friday, 4:30 PM US EASTERN.
2) CL's will use the Weekly Staff Report Form

TEAM LEADER GUIDELINES

1. Receive new sites weekly
a) send out welcome letter
i)request a 100x100 button for champ rounds
ii)request to join yahoo group
iii)remind to vote daily, or at least 3x a week
b)add new sites to roster
c)add new sites to voting page
2. Send Yvanna URL and email of sites that do not have banner in place by Monday
3. Update voting pages by no later than 8:00am next morning (remember fighters like to know where they stand)
please try to have this done the same night that voting takes place.
4. Contact fighters that have not voted 3x in one week on Wednesday, cc to Yvanna
5. If fighters have not voted at all by Friday send follow up letter to fighter cc to Yvanna
6. Update rosters by no later that Sunday morning (new site information will be sent out no later
than Saturday morning unless Head Sanctioner is having computer problems)
7. Update voting pages
*** make sure to double check yourself to make sure you have EVERYONE on the voting and roster pages***
8. Send Spirit points earned to King Elgar at elgar@twopagans.com
9. Send in Committee/Team Leader report by no later than 4:30pm on Friday afternoons...there is no need
to list all your fighters, just the ones that are on LOA

LOA's
Please let Yvanna know when a fighter is going on LOA and when they will return.
LOA's should not be any longer than 2 weeks.
If a fighter is going to be gone longer than 2 weeks then
they will have to reapply, as it is not fair for a fighter
to get to the top levels and then go on XLOA for a long
amount of time and come back and compete again at
that level. There are always exceptions to every rule so
send Yvanna a letter of those that ask for XLOA and the reason
why and a decision will be made from there.

10 If you need a LOA please let Yvanna know in enough time to get a replacement for you,
there are exceptions to this also, but if this happens please try to contact Yvanna ASAP
to let her know when you plan on returning.
